Your PDF must comply to the:

  1. EMF-Med template;
  2. requirements for postprocessing.

EDAS will reject the upload if any of the following is found in PDF: bookmarks, form fields, links (URLs), PDF annotation, fonts not embedded, PDF is a scanned image, PDF is encrypted file or print-only file. PDF version must be ≥ 1.4.

You can produce a compliant file with the assistance of IEEE PDF eXpress Plus (IEEE’s online file conversion/PDF validation tool), or on your own, using the settings for Adobe Acrobat as given below.

Using IEEE PDF eXpress Plus

It is strongly advised to use IEEE PDF eXpress Plus (IEEE’s online file conversion/PDF validation tool) as an assistance to generate a compliant PDF, or to check the compliance of PDF you generated. 

IEEE PDF eXpress Plus is not the part of the submission system, it is only a recommended conversion/check tool. PDF must be uploaded in EDAS.

IEEE PDF eXpress Plus usage instructions:

  • Proofread your source document thoroughly to confirm that it will  require no revision. Remove bookmarks, form fields, links (URLs), if any  exist in your manuscript.
  • Log in to the IEEE PDF eXpress Plus site, enter 44690XP for the Conference ID.
  • First-time users: select the "New Users - Click Here" link, enter your  email address and a new password. Continue to enter information as  prompted. Online confirmation will be displayed, and an email  confirmation will be sent verifying your account setup.
  • Previous users of PDF eXpress or IEEE PDF eXpress Plus need to follow  the above steps, but should enter the same password that was used for  previous conferences. Verify that your contact information is valid.
  • Upload the word file for conversion, or PDF for check. Follow further instructions.

Using Adobe Acrobat on your computer

The IEEE prepares and distributes Adobe Acrobat .joboptions files. These contain a complete configuration for Adobe Acrobat for use with Adobe PDFMaker, the Adobe PDF printer driver and Acrobat Distiller to compile compliant PDF files. 

Install these .joboptions to work with Adobe Acrobat Standard or Professional under Windows as follows:

  • Download the appropriate file from the list below, and unzip to a temporary folder. It will have the extension ".joboptions". Remember the location where you unzipped the file.  
  • Launch Adobe Acrobat Distiller.
  • Click on "Settings" and then on "Add Adobe PDF Settings".
  • Navigate to the .joboptions file and click on it.
